# 1.1 Setup section

### Chart of Accounts

**Applicable operation:** When you need to declare or modify the company's chart of accounts. The system comes pre-loaded with the chart of accounts according to Circular No. 99/TT-BTC and allows adding sub-accounts at level 2, level 3, etc., depending on the company's specific requirements.

> **Example:** The company needs to add account 6421 — Selling Expenses (sales staff salaries) under the level-1 account 642.

To declare the chart of accounts, the user proceeds as follows:

1. Enter the account code and name (multi-language support), select the account type (Asset / Liability / Income / Expense) and **account group** (select from the account group list).
2. Select the currency and status (AC: Active / IN: Inactive).
3. Check Cost Code / Job / Profit if you want to require entry when posting; check AR–AP if the account is a receivable/payable account to activate the offset feature.
4. Click **Save** to complete.

* **Important Checkboxes and Options:**
  * Cost Code: When checked, vouchers posting to this account must include a cost code for cost reporting by category.
  * Job: When checked, vouchers posting to this account must include a job/project code.
  * Profit: When checked, vouchers posting to this account must include a profit code for management reports.
  * AR-AP: Used for receivable/payable accounts. When checked, the system requires a customer/vendor code and enables receivable/payable tracking and offsetting.
  * Status AC/IN: AC is an active account; IN is an inactive account that should not be selected on new vouchers.
* **Function Buttons:**
  * F3 at account code: Search for a declared account to view or edit.
  * Save: Save the account information and associated control conditions.
  * Add New: Create a new account.
  * Delete: Delete an account that has no transaction data.
  * Close: Exit the screen.

> **System validations on Save:**
>
> * Account code and account name cannot be blank.
> * Sub-accounts must be at the correct level/parent account within the chart of accounts.
> * Do not delete or change the nature of accounts that have existing vouchers, as this will affect the ledger, receivables/payables, and financial reports.

> **Note:** Setting up the chart of accounts directly affects the general ledger, sub-ledgers, and financial statements, so users should carefully consider before deleting accounts. If accounting entries related to the account to be deleted have already been created, it will affect the accuracy of reports.

### Account Group List

**Applicable operation:** When you need to classify accounts by group (Current Assets, Non-Current Assets, Liabilities, Owner's Equity, etc.) to support the Statement of Financial Position report. The system comes pre-loaded with level 1 and level 2 groups according to Circular 99/TT-BTC.

> **Example:** The "Current Assets" group includes: Cash and cash equivalents (111, 112), Receivables (131, 136, 138)…

To declare account groups, the user proceeds as follows:

1. Enter the group code and group name.
2. Click **Save** to complete.

* **Function Buttons:**
  * F3 at group code: Search for a declared account group.
  * Save: Save the account group.
  * Add New: Create a new group.
  * Delete: Delete a group that has not been used.
  * Close: Exit the screen.

> **System validations on Save:** The group code cannot be blank, and groups already assigned to accounts should not be deleted.

### Statement of Financial Position Setup

**Applicable operation:** When you need to configure (map) the line items on the Statement of Financial Position — assigning account balances to each report line item. The system comes pre-configured according to the Circular 99/TT-BTC template; users only need to review and customize if necessary.

> **Example:** Assign the debit balance of Account 111 (Cash) to the line item "Cash and cash equivalents" on the balance sheet.

To configure, go to the **General Ledger** module, select **Statement of Financial Position Setup**, and follow these steps:

**Step 1: Set up report line item information**

* **Line Item Information:**
  * Code: Line item code per Circular 99 standard.
  * Description VN / EN / KR: Line item name in Vietnamese, English, Korean.
  * Total: Check if this is a summary line item — the system will automatically sum from child line items and will not allow direct account assignment.
  * Status: Check to hide this line item from the financial report; leave blank to display normally.

**Step 2: Assign account balances to line item codes**

In the data grid, users declare account-to-line-item mapping information:

* **Account Assignment Grid:**
  * Balance Type: Select D (Debit balance) or C (Credit balance).
  * Account / Desc VN / EN: Select the account to assign and the corresponding description.
  * Carry Forward: Enter + for positive values, - for negative values (contra items, depreciation, etc.).
  * Line Item Code / Line Item Name VN / EN: Select the report line item and corresponding name from the configured list.

> **Example:** Row No. = 1 takes the debit balance of Account 111, keeps a positive sign in the Carry Forward column, and maps to line item 111 on the report.

After completion, click **Save** to save, **Next** to proceed to the next step, or **Close** to exit.

* **Function Buttons and Checkboxes:**
  * Total: Mark as a summary line item. This item aggregates data from child items, not directly from accounts.
  * Status: Used to hide/disable a line item on the report.
  * Save: Save the configuration at the current step.
  * Next: Proceed to the next step in the report configuration process.
  * Back: Return to the previous step to review settings.
  * Close: Exit the setup screen.

> **System validations on Save:** Summary line items should not have accounts directly assigned; accounts mapped to the report must exist in the chart of accounts and the correct Debit/Credit balance type must be selected.

**Step 3: Set up child line items under parent line items**

Assign child line item codes to higher-level summary line items so the system automatically aggregates when generating the report.

**Step 4: Set up summary line items under the highest-level summary**

Assign summary line items to the highest-level summary line items (these items do not have direct account balances; they only aggregate from child items).

### Closing Entry Configuration

**Applicable operation:** When you need to pre-configure the methods and sequence for automatic account balance closing entries at period-end (month/quarter/year), minimizing errors and saving manual work time.

> **Example:** Period-end closing entries: transfer sales revenue — Debit 511 / Credit 911; transfer administrative expenses — Debit 911 / Credit 642; then transfer profit/loss — Debit 911 / Credit 4212.

In the data grid, users declare information for each closing entry:

* **Configuration Details:**
  * Account / Account Name: The source account to transfer the balance from and description (3 languages).
  * Balance Method: Select C (Credit balance) or D (Debit balance).
  * To Account: The destination account to receive the transferred balance (e.g., 911, 1541, 4212…).
  * Description VN / EN / KR: Content automatically displayed on the closing voucher.
  * Execution Order: Step 1 transfers revenue/expenses to 911 or 1541; Step 10 transfers from 911 to 4212 (executed last).
* **Function Buttons:**
  * Save: Save the list of closing entries.
  * Add Row: Declare an additional closing entry.
  * Delete Row: Delete an unused configuration row.
  * Close: Exit the screen.

> **System validations on Save:** The source account, balance method, destination account, and execution order are critical information to verify. If the execution order is configured incorrectly, period-end closing figures may be incorrect.

> **Note:** Opening balances must be entered before posting transactions for the period.
