4.2 Input section

Payment Voucher (Cash Payment / Bank Payment)

Applicable operation: Recording cash disbursements from the fund or bank payments: supplier payments, salary payments, material purchases, advance payments, advance settlements. The system has two separate screens:

  • Cash Payment: Disbursement from the cash fund (Account 111).

  • Bank Payment: Disbursement through bank account (Account 112).

Business example: Payment voucher PC26/040025 dated 29/04/2026 — cash payment to LLVK CO., LTD for dormitory food purchase per Invoice 00003076, amount 2,664,000 VND — Debit Account 3311 / Credit Account 1111.

To enter a payment voucher, the user proceeds as follows:

  1. Click Add New to create a new payment voucher, or press F3 at the Reference Number to search for an existing voucher.

  2. Enter the Voucher Date, verify the Accounting Period and Voucher Number.

  3. Select the Processing Method. It is recommended to keep Hold while the voucher is pending review, and switch to Released once approved for posting.

  4. Select the appropriate Cash Account: 111 for cash payment, 112 for bank payment.

  5. Enter the Recipient, Address, and Payment Reason VN / EN / KR.

  6. If paying to settle AP payables, press F3 at Payable to link the original voucher.

  7. Enter detail lines: offset account, amount, invoice/tax information, employee code or customer/vendor code as needed for tracking.

  8. Verify the Total Amount and click Save; then print the payment voucher or post to ledger as per the process.

  • General Information (Header):

    • Reference Number: Defaults to <NEW> when adding new; press F3 to search for existing vouchers.

    • Voucher Date / Accounting Period / Voucher Number: The system automatically displays based on the current date and configuration rules.

    • Recipient / Address: Enter the name and address of the receiving entity/individual.

    • Cash Account / Currency / Exchange Rate: Select the cash/bank account and currency type (default VND).

    • Designated Exchange Rate: Leave blank for the system to automatically calculate the disbursement rate; check if you want to manually enter a specific rate.

    • Payable / Original Voucher: Press F3 to link with the related AP voucher.

    • Payment Reason VN / EN / KR: Enter the payment description in each language.

  • Detail Grid:

    • Offset Account / Description: Enter the offset account and description for each journal entry line.

    • Tax Rate / Tax Amount: Select the tax % — the system automatically calculates the tax amount for each line.

    • Invoice No. / Serial No. / Invoice Template / Invoice Date: Enter VAT invoice information for the tax schedule.

    • Employee Code / Customer Code / Vendor Code: Enter related employee, customer, or vendor codes.

  • Function Buttons:

    • Previous / Next: Navigate to adjacent vouchers.

    • Export Grid / Data Entry: Export data to Excel or import from external files.

    • Template File: Export an Excel template for entering detail data before importing.

    • Print Voucher: Print or export to PDF using a template.

    • Save / Copy / Add New / Delete / Close: Standard operations.

  • Operational Notes:

    • For cash payments, the cash account must be Account 111; for bank payments, use Account 112 corresponding to the actual bank account.

    • When linking AP vouchers, enter the correct vendor and payment amount so that payable balances decrease against the correct invoice.

    • If a payment line includes VAT, enter the tax code and invoice information for the input tax schedule.

    • For payable/receivable accounts, enter the corresponding customer/vendor code; for management accounts, enter the complete cost center/project/profit code as required by the system.

    • Released vouchers are posted vouchers; to modify, unpost or create an adjustment voucher following the control process.

System Validations on Save:

  • Voucher number is required, the last 4 characters must be numeric and must not duplicate within the same period.

  • Voucher date must fall within the correct accounting period and the period must not be closed.

  • Cash account, currency, and exchange rate are mandatory; exchange rate must be greater than 0.

  • At least one detail line is required; offset account must be valid within the cash module.

  • Line amounts must not be negative.

  • If tax amount exists and tax tracking is enabled, the detail line must have a tax code.

  • If the account requires an entity code or allocation code, the system will require entry before saving.

Note: After saving, the payment voucher is in Hold status. Switch to Released to post to the General Ledger (GL), or use Release Multiple Vouchers for batch posting.


Receipt Voucher (Cash Receipt / Bank Receipt)

Applicable operation: Recording cash received from customers or other income sources: sales receipts, advance recovery, bank interest income. The system has two separate screens:

  • Cash Receipt: Receipt into the cash fund (Account 111).

  • Bank Receipt: Receipt through bank account (Account 112).

Business example: Receipt voucher PT26/010001 dated 14/01/2026 — cash receipt from I.T.C VIETNAM JOINT STOCK COMPANY payment per Invoice 283, amount 896,400 VND — Debit Account 1111 / Credit Account 1311.

To enter a receipt voucher, the user proceeds as follows:

  1. Click Add New to create a new receipt voucher, or press F3 at the Reference Number to search for an existing voucher.

  2. Enter the Voucher Date, verify the Accounting Period and Voucher Number.

  3. Select the Processing Method. It is recommended to keep Hold while the voucher is pending reconciliation, and switch to Released once the cash receipt is confirmed.

  4. Select the appropriate Cash Account: 111 for cash receipt, 112 for bank receipt.

  5. Enter the Payer, Address, and Receipt Reason VN / EN / KR.

  6. If receiving payment for an AR invoice, press F3 at Receivable to link the original voucher.

  7. Enter detail lines: offset account, amount, invoice/tax information, employee code or customer/vendor code as needed for tracking.

  8. Verify the Total Amount and click Save; then print the receipt voucher or post to ledger as per the process.

    • For payable/receivable accounts, enter the corresponding customer/vendor code; for management accounts, enter the complete cost center/project/profit code as required by the system.

    • Released vouchers are posted vouchers; to modify, unpost or create an adjustment voucher following the control process.
